Applicant Timetable for the 2013 Pediatric Subspecialty Match
First Iteration

NOTE: Milestones are CaRMS recommended dates for applicants to follow, to ensure enough time is allotted to complete the next phase thoroughly. These are not deadlines; they are merely guidelines to keep applicants on track throughout the match cycle. The four milestones in this timetable are: MCC Examination Milestone (March 13); Document arrrival milestone (March 16); Program selection milestone (March 17); and Document assignment milestone (March 19).

January 17, 2012 (12:00 ET)
Online request for registration

Online request for registration opens for any eligible applicants who are currently in their R-2 or R-3 year in Pediatrics at a Canadian university, or in an RCPSC-accredited US Pediatrics program. Applicants are eligible to apply to positions based on the eligibility criteria established by each university/province.

January 30, 2012
Program descriptions complete

Program descriptions are posted for the CaRMS 2013 Pediatric Subspecialty Match.

NOTE: Program descriptions may be altered occasionally and should be referred to online regularly. Program descriptions must be approved by the postgraduate dean's office before any updates can be considered official. The program description's status is indicated at the top of each page and the date of last update is at the bottom.

Tokens sent out for access to the Applicant Webstation (AWS)

All verified applicants are e-mailed their tokens on this day. Applicants use their temporary token to complete the registration process and log into AWS which opens the following day, January 31, 2012.

January 31, 2012 (12:00 ET)
Applicant Webstation (AWS) opens

AWS opens. Applicants are encouraged to begin the preliminary steps of filling out their CaRMS application.

February 22, 2012 (12:00 ET)
Program selection opens

Applicants are able to begin selecting programs where they wish to apply. CaRMS suggests that applicants read the program descriptions carefully to ensure that they have all of the required and up-to-date documents.

March 13, 2012
MCC Examination Milestone

All MCC examination information must be entered into the examinations section of AWS by this date, to ensure examination scores arrive direct from the MCC in time for the opening of file review. Please note, it is the applicant's responsibility to provide their examination results letter(s) if they wish to include this document as part of their MCC examination results.

CaRMS will continue to process examination information entered after this date, but cannot guarantee scores will be available from the MCC before file review, due to the time required for data processing.

March 16, 2012
Document arrival milestone

All documents, including letters of reference, should have arrived at the CaRMS office by this date, to guarantee they will be processed in AWS in time for file review on March 20, 2012.

CaRMS will continue to process documents that arrive after this date, but cannot guarantee they will be scanned before file review due to the volume of documents received.

March 17, 2012
Program selection milestone

Applicants should select and submit all programs they are interested in by this date to allow adequate time to assign all the necessary documents to each program.

Please note, applicants cannot submit their application to a program until they have completed and submitted all parts of the My Application section of AWS.

Applicants will still be able to select and submit to programs throughout the match cycle, but they must leave a sufficient amount of time to properly assign all required documents before file review begins on March 20.

March 19, 2012
Document assignment milestone

Document assignments should be completed by this date to ensure applications are as complete as possible for March 20, when file review begins.

CaRMS suggests that applicants review the program descriptions before this date to ensure they assign all the required documents. As some documents, including rotation and electives evaluations, may arrive after this date, CaRMS will continue to scan documents after the opening of file review and will actively notify programs when new documents are scanned into an applicant's file.

March 20, 2012 (12:00 ET)
Program Webstation (PWS) opens and file review begins

Programs begin to review applications.

Interview period - March 27 until May 13, 2012

Programs are able to schedule interviews with applicants up until May 13, 2012. Some programs may have clearly defined interview periods, therefore applicants must ensure that they check each program description carefully.

April 24, 2012 (12:00 ET)
Ranking period begins

Rank order list system opens to applicants and programs for online ranking.

Note: CaRMS recommends that applicants do not wait until the last minute to enter and finalize their rank order list.

May 15, 2012 (12:00 ET)
Request for registration closes

Online request for registration closes.

May 15, 2012 (14:00 ET)
Program ROL deadline

CaRMS suggests applicants ensure all applications are submitted before this date as programs no longer have access to their rank order lists after this time.

May 23, 2012 (15:00 ET)
Rank order list deadline

The rank order list deadline is very important. Applicants who do not properly submit their rank order list into the CaRMS system are automatically withdrawn from the match.

Note: CaRMS recommends that applicants submit their rank order list well before the deadline and printing the e-mail confirmation to ensure the rank order list has been properly submitted. If an applicant makes any changes to a submitted rank order list, they must resubmit the list.
