Timetable for the first iteration of the 2012 R-1 match

NOTE: Milestones are CaRMS-recommended dates that you should follow to ensure you are using your time well and allotting enough time to complete the next phase thoroughly. These are not deadlines; they are merely guidelines that are proven to keep you on track throughout the match cycle. The five milestones in this timetable are: extra documents/transcripts expected at CaRMS milestone (October 28); submission of electronic application milestone (November 10); program selection milestone (November 16); letter of reference milestone (November 18); and document assignment milestone (November 23).

August 10, 2011 (12:00 ET)
Online request for registration opens

Online request for registration opens for international medical graduates, United States medical graduates and prior-year Canadian medical graduates (current-year Canadian graduates are automatically registered by their medical schools). CaRMS encourages reading the basic criteria, provincial criteria and program descriptions sections before registering.

September 2, 2011
Program descriptions updates complete

Program descriptions become current for the 2012 Match.
NOTE: The program descriptions may be altered occasionally and should be referred to regularly. The program description must be approved by the postgraduate dean's office before any updates can be considered official. The program description's status is indicated at the top of each page, and the time of the last update is at the bottom.

September 6 to 7, 2011
Applicant Webstation (AWS) access token distribution begins

All verified applicants are e-mailed their tokens.
Use your token to complete the registration process and log into AWS, which opens September 7, 2011.

If you request registration after September 5, you will be sent your token within three (3) business days, or contacted for further information.

September 7, 2011 (12:00 ET)
Applicant Webstation (AWS) opens

AWS opens.
You are encouraged to use your token and begin the preliminary steps of filling out your CaRMS application. CaRMS recommends that you familiarize yourself with the AWS platform, and suggests printing the AWS Help Manual for reference.

October 12, 2011 (12:00 ET)
Program selection opens

You are able to begin selecting programs you wish to apply, starting on this date.
Please thoroughly read the program descriptions to ensure you have all of the required documents.

October 28, 2011
Extra documents/transcripts expected at CaRMS Milestone*

All medical school transcripts and extra documents are expected in the CaRMS office by this date. A list of Extra Documents categories can be found in the My Documents section of AWS. These Extra Documents can include items such as publications, abstracts, certificates, etc. This milestone does NOT refer to documents submitted online.
It is your responsibility to follow university procedures to order a medical school transcript and have it sent directly to the CaRMS office. You are able to track documents that CaRMS has processed through AWS.

*This is the first milestone in the CaRMS first iteration timetable.

November 10, 2011
Application submission milestone

The My Application section of AWS should be submitted by this date. All sections of the application must be complete before it can be successfully submitted.

November 14, 2011
NAC OSCE milestone

If you have taken the National Assessment Collaboration Objective Structured Clinical Examination (NAC OSCE), enter that information in the NAC OSCE section of the examination page in AWS by this date, to stay on track with your application.

November 16, 2011
Program selection milestone

You should select and submit all programs you are interested in by this date to allow adequate time to assign all the necessary documents to each program. Please note, you will still be able to select and submit to programs throughout the match cycle, but you must leave a sufficient amount of time to properly assign all required documents before AWS closes for file review setup on November 25 (17:00 ET).

November 16, 2011
MSPR arrival

All Medical Student Performance Records (MSPRs) are due at the CaRMS office on this date.
If your MSPR is not processed into your AWS application within one week of this date, please contact your undergraduate office.

November 18, 2011
Letter of reference milestone

All letters of reference should have arrived at the CaRMS office by this date to guarantee they will be processed into your AWS application in time for file review on December 1.

CaRMS will continue to process letters that arrive after this date, but can not guarantee they will be scanned before file review due to the volume of documents received. Please note that this milestone excludes electronic letters of reference (ELORs).

November 23, 2011
Document assignment milestone

Document assignments should be complete by this date to ensure your applications are complete for December 1, when file review begins.

Online documents should also be completed by this date. These documents include items such as the CV, personal letter and photograph.

Some programs will not review an incomplete application, a document that arrives late, or a document that has been assigned after file review begins. Be sure to review the program descriptions before this date to ensure you are assigning all the required documents.

November 25, 2011 (17:00 ET) to December 1, 2011 (12:00 ET)
AWS closed

Online services are closed for preparation of file review.

You will not have access to AWS during this time period.

December 1, 2011 (12:00 ET)
File review begins

Programs begin reviewing applications.

AWS re-opens.

January 21 - February 12, 2012
National interview period

Interviews for current-year Canadian medical school graduates from out-of-town universities are conducted during this three-week period. Interviews for applicants at their own schools and for IMGs are coordinated separately with no national specific time period.

February 2, 2012 (12:00 ET)
Rank order list (ROL) period begins

Rank order list (ROL) system opens to applicants and programs for online ranking.

CaRMS recommends you do not wait until the last minute to enter or finalize your rank order list.

February 2, 2012 (12:00 ET)
Late request for registration for first iteration opens

Online request for registration for the first iteration opens. An extra registration fee will be added to the account of applicants who request registration after late registration opens. The fee will be applied when the applicant uses their token.

February 14, 2012 (15:00 ET)
Late request for registration for the first iteration closes

Online request for registration for the first iteration closes.

February 15, 2012 (17:00 ET)
Program ROL deadline

Programs no longer have access to their rank order lists after this date.

February 21, 2012 (16:00 ET)
Applicant ROL Deadline

Rank order list deadline. This is the only deadline in the CaRMS match year - not having your ROL properly submitted into the CaRMS system results in automatic withdrawal from the first iteration.

CaRMS recommends submitting your ROL well before the deadline and printing your e-mail confirmation. If you did not receive an e-mail confirmation (check your junk mail if one doesn't arrive in your inbox), you may not have properly submitted your ROL. If you make any changes to a submitted ROL, you must submit the list again.
