FM/EM Match Applicant Timetable 2012

NOTE: There are five (5) weeks between the opening of the Applicant Webstation (AWS) and the document arrival milestone. Assessment forms are available (before AWS opens) in our supporting documents section. You can start printing these forms and hand them out to your referees and program directors now to allow enough time for them to write their letters and fill in the appropriate forms.

However, it is strongly advised to instruct your referees to wait until AFTER August 24, 2011 to send them to CaRMS.

NOTE: Milestones are CaRMS-recommended dates. CaRMS recommends you try and follow these recommendations to ensure you are using your time well and allotting enough time to complete the next phase thoroughly. These are not deadlines; they are merely guidelines that keep you on track throughout the match cycle.

Program descriptions updates complete

Directory of residency programs finalized and posted on carms.ca.
NOTE: The program descriptions may be altered occasionally and should be referred to regularly.

August 3, 2011 (12:00 ET)
On-line request for registration Opens

CaRMS encourages you to carefully read the criteria and program descriptions sections before registering.

August 23, 2011
Tokens distributed

All verified applicants are e-mailed their tokens.

August 24, 2011 (12:00 ET)
AWS opens

Applicant Webstation (AWS) opens for FM/EM match applicants.

September 20, 2011
Medical Council of Canada (MCC) examination milestone*

All MCC examination information must be entered into the examinations section of AWS by this date, to ensure examination scores arrive direct from the MCC in time for the opening of file review. Please note, it is your responsibility to provide your examination results letter(s) if you wish to include this document as part of your MCC examination results.

CaRMS will continue to process examination information entered after this date, but cannot guarantee scores will be available from the MCC before file review, due to the time required for data processing.

*This is the first milestone in our timetable.

Application submission milestone

Applications should be submitted by this date. All sections of the application must be complete before it can be successfully submitted.

September 30, 2011
Document arrival milestone

All documents, including letters of reference, should have arrived at CaRMS to ensure they are processed/scanned on time for the opening of file review.

October 2, 2011
Program selection milestone

Applicants should select and submit all programs they are interested in by this date to allow adequate time to assign all the necessary documents to each program. Please note, you will still be able to select and submit to programs throughout the match cycle, but you must leave a sufficient amount of time to properly assign all required documents before file review.

October 3, 2011
Document assignment milestone

Document assignments should be complete by this date to ensure your applications are complete when file review begins.

Some programs will not review an incomplete application, a document that arrives late, or a document that has been assigned after file review begins. Be sure to review the program descriptions before this date to ensure you are assigning all the required documents.

File review begins

Programs begin reviewing applications.

Interview invitations

Interview invitations have been sent by this date.

November 8 - December 2, 2011
Interview period

National FM/EM match interview period.

November 23, 2011 (12:00 ET)
Rank order list (ROL) period begins

Rank order list (ROL) system opens to applicants and programs for online ranking.

December 8, 2011 (14:00 ET)
Program ROL deadline

Applicants should ensure all applications are submitted before this date as programs no longer have access to their rank order lists after this date.

December 12, 2011 (15:00 ET)
Applicant ROL deadline

Rank order list deadline for all participants.
ALL rank order lists must be entered and submitted.


CaRMS recommends submitting your rank order list well before the deadline and printing your e-mail confirmation. If you did not receive an e-mail confirmation (check your junk mail if one doesn't arrive in your inbox), you did not properly submit your ROL. If you make any changes to a submitted ROL, you must submit the list again.
