What documents can I have translated?

Eligible documents include medical school transcripts, medical school performance records (MSPRs) and reference materials.

Which documents are considered reference materials?

Reference materials include applicant support forms, letters of reference, referee assessment forms, letters of reference from program directors and Family Medicine (FM) program directors’ assessment forms.

Can I request translation for other document types?

No. Documents eligible for translation include medical school transcripts, medical school performance records (MSPRs) and reference materials. We do not offer translation of other document types.

Do all applicants have access to CaRMS’ translation services?

CaRMS offers English-to-French and French-to-English translation services to bilingual applicants for all four of our residency matches.

Why can I not request translation?

To use the translation service, your application must be bilingual. For more information on creating a bilingual application, please see the CaRMS Online help guide for applicants.

Why can’t I select my document to request a translation?

You may not be able to request a translation for the following reasons:

  • Your document may not be eligible for translation,
  • Your document may not be uploaded correctly,
  • Your document may not have been uploaded into your account,
  • There may be a previous translated version of this type of document in your account (if you participated in a previous match and requested a translation).

What exactly will be translated when I request to have my Medical School Performance Record (MSPR) translated?

When you request the translation of your MSPR, the entire MSPR document will be translated.

Note: clerkship evaluations incorporated within Quebec universities’ MSPRs will be translated; however, any evaluations that are not included in the original MSPR document from your medical school will not be translated. Clerkship evaluations that are separate from the MSPR document are not eligible for translation.

Does CaRMS guarantee the quality of the translation?

CaRMS facilitates the translation of documents by Société Gamma, a certified translation agency that has served private sector and government clients since 1974. Société Gamma’s work is covered by liability insurance. Please note that CaRMS is not responsible for the accuracy or timeliness of translated documents. CaRMS will act as interlocutor should you experience any issues with the quality of the translation of your documents.

Do not contact Société Gamma regarding translation requests submitted through CaRMS Online, as they are unable to deal directly with applicants. Any questions regarding CaRMS’ translation services should be directed to translationservice@carms.ca.

Can I track the status of my translation requests?

All translation requests submitted prior to the translation request milestone will be uploaded to your application before the opening of file review or reference letter unmasking (applicable to R-1 match only). Any translation requests submitted after the translation request milestone, will be uploaded when translation has been completed (note: CaRMS cannot guarantee a specific time that they will be completed).

Once translated documents are available in your file, you will see a date in the ‘Date completed’ column of the ‘Documents submitted for translation’ table on your Translation Requests page and in the ‘Date’ column on your Document Tracking page. CaRMS cannot provide more specific tracking information.

What if my referees aren’t able to provide reference materials until after the translation request milestone has passed?

CaRMS will continue to process translations that are requested after the translation request milestone; however, due to the high volume of requests we receive, we cannot guarantee when they will be available in your account.

How can I cancel a translation request?

Translation requests cannot be cancelled once submitted.

My translated documents have been uploaded into my account, but I have not received an invoice. How do I pay the translation fees?

To pay the translation fees, log on to your CaRMS Online account and select “Payment History” under MY ACCOUNT. The translation fees owing will be listed on the page.
